Topsail setup guide for HubSpot

What Topsail does

Topsail is a sales execution platform for B2B prospecting, account development, playbook-led sequencing, outreach, and reporting. The HubSpot integration lets Topsail use HubSpot CRM records as part of those workflows so sellers can work from a focused daily queue while HubSpot remains the system of record.

• Load CRM-linked contacts, companies, deals, tasks, and notes.
• Guide sellers through playbook-led outreach in Focus Mode.
• Log activity outcomes such as calls, emails, SMS, and LinkedIn touches back to HubSpot when enabled.
• Keep configured contact updates and reporting fields in sync between Topsail and HubSpot.

Before you install

• You need an active Topsail account.
• Your HubSpot user must be authorized to install connected apps and grant CRM permissions.
• Your Topsail tenant should be configured for HubSpot-connected CRM mode by your Topsail administrator or account team.

Install the app

1. Log in to Topsail.
2. If prompted, select HubSpot as your CRM provider. Administrators can also open Tenant Settings and choose Reconnect HubSpot.
3. Topsail redirects you to HubSpot so you can choose the HubSpot account to connect.
4. Review the permissions requested on the HubSpot consent screen.
5. Click Connect app.
6. After HubSpot redirects you back to Topsail, return to the app and confirm your HubSpot connection is active.

Topsail uses OAuth for HubSpot authorization. Topsail does not ask for or store your HubSpot username or password.

Permissions requested

Topsail requests HubSpot permissions needed to support CRM sync, owner mapping, activity logging, and tenant-configured sales workflows.

Configure the app

1. In Topsail, open Tenant Settings as an administrator.
2. Set CRM mode to HubSpot connected if it is not already selected.
3. Choose whether Topsail should log Focus Mode activities to CRM.
4. If your portal uses native HubSpot call types, configure HubSpot activity mapping.
5. Configure the HubSpot daily contact sync schedule if your tenant uses scheduled contact updates.
6. Confirm your sellers have the correct Topsail user roles, assignments, and playbook access.

Use the app

After setup, sellers can use Topsail to work daily outreach queues, view CRM context, follow assigned playbooks, and record outcomes. Administrators can use Topsail reporting and admin tools to monitor activity, playbook adoption, and CRM sync status.

• Focus Mode: sellers work through calls, emails, SMS, LinkedIn touches, and other configured tasks.
• Lead and contact workflows: Topsail surfaces HubSpot-backed contact and company context when available.
• Activity logging: completed outcomes can be written back to HubSpot according to tenant settings.
• Reporting: Topsail reporting gives teams visibility into outreach execution and accountability.

Disconnect HubSpot from Topsail

To disconnect HubSpot from Topsail, contact your Topsail administrator or Topsail support. Topsail can remove stored OAuth credentials for the connected user or tenant as appropriate.

Disconnecting stops Topsail from making new HubSpot API requests. Existing HubSpot records and activities that Topsail already created or updated remain in HubSpot unless you remove them separately inside HubSpot.

Uninstall the app in HubSpot

1. Log in to HubSpot.
2. Open HubSpot settings.
3. Navigate to connected apps.
4. Select Topsail.
5. Choose uninstall or disconnect and confirm the action.

Uninstalling the app revokes HubSpot access for Topsail. It does not automatically delete data already stored in Topsail or data already written to HubSpot. To request data deletion, contact Topsail support or your account representative.
