Privacy statement for Topsail and HubSpot

Who we are

Topsail is a revenue-enablement and sales execution platform operated by Easy Company Consulting LLC. This statement applies to the Topsail HubSpot integration and supplements any customer agreement, order form, data processing agreement, or broader privacy policy that applies to a customer's use of Topsail.

Data we process from HubSpot

Depending on tenant configuration, granted scopes, and features used, Topsail may process the following HubSpot data:

• Contacts, companies, deals, and associations.
• Tasks, notes, meetings, calls, emails, and communications.
• Owner, portal, and supported contact property metadata.
• Activity outcomes, reporting fields, contact updates, and custom property values created or updated through Topsail workflows.
• OAuth access tokens, refresh tokens, expiration metadata, portal identifiers, and owner mapping data needed to operate the integration.

Topsail does not ask for or store HubSpot usernames or passwords.

How we use HubSpot data

• Authenticate and maintain the HubSpot OAuth connection.
• Power CRM-linked prospecting and account development workflows.
• Show relevant CRM context to authorized Topsail users.
• Support playbook-led sequencing and Focus Mode tasks.
• Log outreach activity and outcomes back to HubSpot.
• Run tenant-configured contact sync and reporting workflows.
• Maintain integration health, security, audit, and support logs.

How data is stored and protected

Topsail stores integration credentials and CRM workflow data in tenant-scoped systems. Data is encrypted in transit using TLS and encrypted at rest by the underlying cloud infrastructure. Access is controlled through authentication, role-based application controls, tenant scoping, and operational access restrictions.

Service providers

Topsail uses cloud infrastructure and optional product integrations to provide the service. Service providers may include Google Cloud and Firebase for hosting, compute, authentication, storage, and data services. Depending on customer configuration, Topsail may also use providers for CRM, email, telephony, enrichment, reporting, support, or AI-assisted workflows.

Topsail does not sell HubSpot customer data and does not use HubSpot data for third-party advertising.

Retention and deletion

Topsail retains HubSpot integration data for as long as needed to provide the service, maintain configured workflows, meet legitimate operational needs, and comply with legal obligations. If a customer disconnects HubSpot, Topsail stops making new HubSpot API requests for that connection. Existing data may remain in Topsail and HubSpot until deleted according to the customer's agreement, administrator actions, or an approved deletion request.

Customer controls

• Customers can uninstall or disconnect Topsail in HubSpot.
• Topsail administrators can configure whether certain CRM write and activity logging workflows are enabled.
• Customers may request access, correction, export, or deletion of applicable personal data where required by law or contract.
