You’ve put in the work to make the checklists and your team is reaping the benefits but you are starting to notice that there are some instances where the checklists just don’t quite fit.

Fight the urge to fall into the “every project is unique” trap. It’s a pervasive misconception that completely derails organizations from standardizing and optimizing their workflows. This happens when a team confuses a variable for a step as a completely different workflow. Yes, if you have a project with custodian deduplication and a project with global deduplication, they are not identical. However, the deduplication strategy difference does not change the fundamental structure of the workflow. Yes, using a checklist that indicates custodian deduplication is incorrect for a workflow that is supposed to use global deduplication. However, most of that checklist is going to provide accurate information.

And that is where the variable library comes into play. Because the checklists are made in excel, you can easily copy and paste in different variables where needed. So if workflow A needs global deduplication, copy and paste that variable into your checklist and if workflow B needs custodian deduplication, copy and paste in that variable.
